Need a different confirmation email for different events? With Event Genius Pro, you can assign different registration forms to different events, and each form can use its own confirmation email template. This makes it easy to send event-specific messages, instructions, branding, or next steps automatically.

If you are using the free version, this functionality requires Event Genius Pro. Upgrade to Pro here to create event-specific confirmation and notification email setups.

How this works

In Event Genius, confirmation emails and notification emails are connected to the registration form assigned to the event.

  • The event chooses which registration form to use.
  • The registration form controls the email settings and email templates.
  • The email template provides the actual message content that gets sent.

So, if you want one event to send a different confirmation email than another, the usual approach is to create or duplicate a registration form, assign a different confirmation email template to it, and then assign that form to the event.

When to use different confirmation emails

This is especially helpful when different events need different instructions after signup. For example:

  • A class registration might need arrival instructions
  • A fundraiser might need donation or check-in details
  • A camp or workshop might need what-to-bring information
  • A members-only event might need a different tone or branding

Step 1: Choose or create the confirmation email template

  1. In your WordPress admin, go to the area where your Event Genius email templates are managed.
  2. Create a new confirmation email template, or open an existing one.
  3. Add the wording you want registrants for this type of event to receive.
  4. Save your template.

Tip: If multiple events need similar messaging, you can reuse the same template across forms.

Step 2: Assign that template to a registration form

  1. Go to Event Genius → Registrations and open Forms.
  2. Edit the form you want this event to use.
  3. Open the Emails section in the form builder.
  4. Under Confirmation Email, make sure Send Confirmation Email is enabled.
  5. Select the correct Confirmation Email Template from the dropdown.
  6. Save the form.

You can also configure the Notification Email Template here if you want your team to receive different admin notifications for different events.

Step 3: Assign that form to the event

  1. Edit the event you want to customize.
  2. Open the Registrations tab or registration settings area.
  3. Find the Registration Form setting.
  4. Select the form you configured in Step 2.
  5. Save the event.

That event will now use the confirmation email template attached to that registration form.

Best way to use different emails for different events

If two events need different confirmation emails, the cleanest setup is usually this:

  • Create one registration form for Event Type A
  • Create another registration form for Event Type B
  • Assign a different confirmation template to each form
  • Assign the correct form to each event

If the forms are mostly the same, you can duplicate an existing form and only change the email template. This is often the fastest option.

Example

Let’s say you run both training sessions and fundraising events:

  • Your Training Registration Form could use a confirmation email with class details and what to bring
  • Your Fundraiser Registration Form could use a confirmation email with parking, check-in, and donation information

Each event simply uses the form that matches the message you want to send.

Troubleshooting

The wrong confirmation email is being sent

  • Check which registration form is assigned to the event
  • Open that form and confirm the selected Confirmation Email Template
  • Make sure Send Confirmation Email is enabled
  • Save both the form and the event after making changes

I changed the template, but the event still looks the same

Make sure you edited the template assigned to the form the event is actually using. If multiple forms exist, this is the most common source of confusion.

Can I set the email directly on the event?

Not directly. In Event Genius Pro, confirmation and notification email behavior is controlled through the registration form assigned to the event. This is to maximize compatibility with the registration data being mapped to email templates.
